Preventive maintenance programs

Biomedical equipment maintenance contracts for healthcare facilities

Apex Biomedical Technology helps hospitals, outpatient clinics, surgery centers and healthcare facilities plan preventive maintenance around their equipment inventory. Based in Houston, we review requests across the surrounding area and consider projects throughout Texas and the United States.

What your proposed service program can include

Equipment inventory & coverage

Define facilities, departments, manufacturers, models, asset counts and the devices covered by the agreement.

Planned PM schedule

Review manufacturer recommendations, facility requirements, service intervals and access windows.

Inspection & testing

Agree on applicable visual inspections, performance checks and electrical safety tests for each equipment category.

Service records & reporting

Document work performed, measured results when applicable, findings, corrective actions and follow-up recommendations.

Repair & parts coordination

Define how faults, repair quotes, replacement parts and out-of-scope work will be handled.

Multi-site planning

Organize equipment lists and maintenance windows by location to support coordinated scheduling.

Specific coverage, response arrangements, exclusions, pricing and availability are confirmed in writing for each proposal. No fixed response time or OEM authorization is implied.

One maintenance proposal for different equipment types

Build a medical equipment preventive maintenance contract around the devices your facility actually uses. Send a mixed inventory; Apex can review the supported models and confirm which equipment belongs in the agreement.

Respiratory equipment, ultrasound systems, beds, warmers, refrigeration and other equipment families can be included in the request for review. Identify the model, quantity, location and current service need for each category.

See Apex’s documented service examples and our equipment service report template when planning the records your facility needs.

One-time PM visit or an ongoing maintenance contract?

Choose the starting point that fits your facility. A current equipment fault can be reviewed separately from future maintenance coverage.

One-time PM visit

For a defined group of devices that needs scheduled maintenance now. Share the models, quantities, due dates and available service windows.

Ongoing PM contract

For recurring maintenance across an agreed inventory or several locations. Review covered devices, service frequency, reporting and the process for additional repairs.

Request recurring coverage →

Repair assessment

For a device with a specific fault. Send the exact model, symptoms and any error message so the repair scope, parts needs and costs can be reviewed.

Scheduled PM with a clear repair process

A clinic or surgery center may need both planned maintenance and support when equipment develops a fault. Your proposal can define scheduled PM separately from corrective maintenance, with a clear process for reporting faults, approving repairs and sourcing parts.

What determines the contract quote?

Equipment models, quantities, service frequency, locations and access requirements determine the scope. When comparing maintenance proposals, ask for these items in writing:

  • Covered inventory: the devices, asset counts and facility locations included.
  • Visit scope: the planned intervals, applicable checks and equipment-access windows.
  • Records: equipment identifiers, work performed, measured results when applicable, findings and follow-up items.
  • Additional costs: how existing faults, replacement parts, travel and work outside the agreement are quoted and approved.
  • Service arrangements: scheduling, response arrangements, exclusions and any warranty terms.

Identify overdue PM and known faults separately so routine maintenance and corrective work can be assessed clearly.

Are repairs and replacement parts automatically included?

Inclusions are agreed in the written proposal. Ask which assessment or repair activities are covered, which need approval, and how replacement parts and work outside the agreement will be quoted.

Can you review a small clinic or several locations?

Start with the equipment count and location of each facility, even if your inventory is incomplete. Houston, Katy, Sugar Land, Pearland and Clear Lake requests can be reviewed alongside other locations. Scheduling and supported coverage are confirmed before an agreement is finalized.

For an existing equipment fault that needs its own assessment, request biomedical equipment repair. For recurring coverage, use the PM contract request below.

How to request a maintenance proposal

  1. Share your inventory. Include equipment types, manufacturers, models, quantities and facility locations if available.
  2. Describe your needs. Tell us your PM schedule, existing service records, documentation requirements and preferred timeline.
  3. Review a written scope. Apex can discuss covered equipment, service frequency, exclusions, travel and pricing before work begins.

Don’t have a complete inventory? Start with an approximate device count and facility details. Please exclude patient information.
